Administrative Assistant | Stratford

 

Responsibilities:

  • Format, proofread, print, copy and compile various reports, proposals, letters, drawings and other correspondence and documents.

  • Ensure all documentation is accurate, meets client specifications, project requirements and MTE standards.

  • Compile background information for proposals and ensure submission is made prior to deadline; maintain proposal files.

  • Attend meetings as required and record and distribute meeting minutes.

  • Coordinate logistics for meetings such as meeting coordination, agenda preparation, boardroom booking and other tasks as requested.

  • Provide back-up coverage for Reception on a daily basis and as needed to cover absences including answering telephone inquiries, greeting visitors and processing couriers.

  • Coordinate travel arrangements such as hotel, flight and car rentals for staff travelling for business.

  • Process photos and creation of project-related CD’s within MTE standards and procedures.

  • Maintain and revise as required, divisional and corporate forms and templates.

  • Perform light kitchen duties and other related duties as assigned.

Qualifications:

  • Post Secondary Diploma in Administrative program or related field.

  • Minimum 5 years of work experience.

  • Working knowledge of MS Office including Word, Excel and Outlook.

  • Strong customer service orientation.

  • Ability to multi-task and meet deadlines.

  • Strong written and verbal communication and comprehension skills.
